Online Registration Vendors

FYSA’s desire is to simplify player registration. There are third party vendors that permit online registration for players. These vendors allow affiliates the ability to have players registered electronically and collect payment without pieces of paper. For affiliates to be able to use these services and be in compliance with FYSA rules, FYSA has created guidelines. Vendors that have agreed to the terms set forth by FYSA will be allowed to use the term “FYSA Compliant.” Affiliates who register their players through these vendors will not be required to have on file an “ink on paper” original parent signature.

FYSA is not approving nor recommending these vendors or their services, nor will FYSA be involved with any financial agreements between the vendors and the affiliates. The vendor has simply agreed to all FYSA specifications regarding player upload protocols and parental waiver language.

Vendors who wish to be considered "FYSA Compliant" may contact the FYSA office for a copy of the Agreement.

Associate Affiliate Code Change
2008-2009 Seasonal Year
All associate affiliate codes will change with the next seasonal year.  This is because our secure site protocols and permissions were set up on the basis of leagues having unique 3 character codes not duplicated in club codes. We found last year that there were several league codes identical to club codes and it did not allow the system to work properly as leagues were able to pull rosters from the club whose 3 character code they shared. This also created problems in the completion of on-line affiliation forms. A decision was made to have all associate members have their codes begin with X since that is the one letter that had not been used by any affiliate. This also gives a specific identity to associate affiliates. Any code that begins with an X is known as an associate affiliate. Going forward, all associate codes will begin with an X and no full affiliate can begin with an X.
 
The office has contacted all of our associate affiliates, advised them of the code change for the 2008-2009 season and allowed them the opportunity to select an appropriate code. The final list is here. The league list on the FYSA website has been updated to reflect this.
 
Since this requires much data in our database to be changed, the transition will be between now and July 15. These codes are for the 2008-2009 seasonal year.

2008-2009 Coach and Player Registration
REVISED 5/28/08
Beginning July 15th, 2008, electronic registrations for current compliant FYSA affiliates will be accepted. Once the 2008-2009 affiliation form has been processed by the office, affiliates will be able to electronically upload players and returning coaches.
 
For returning coaches and all players, affiliates must maintain FYSA registration forms (or a form approved by FYSA) for 2 years. When requested, these forms must be provided to FYSA within two (2) business days.

Affiliation Renewal & Registration Guidelines for the 2008-2009 Season
While the 2008 season seems so far away, it is time to begin making the plans necessary for the registration of all of our members and players.
 
The 2008-2009 online affiliation renewal form will be available on June 1 for all current affiliates. This form can only be accessed and completed by the affiliate’s Agent of Record. This form must be submitted by September 1, 2008 or all access to the secure site will be denied.

Academy Registration Guidelines

FYSA registration rules do not have any “rostering” rules that limit the number of players on a given team. The rules for specific competitions may have  roster rules regarding a maximum of players( e.g. National Championship rules have roster limits of 18-22 players, and no more than 5 previously rostered players) .These imposed limits are only relative to teams participating in those events.  Unless a team is participating in a league competition that has rostering rules, the teams are free to be formed in the manner that best suits the team and or the competition.  continued...

Event Roster

FYSA now has an “Event Roster” that will enable Registrars to create a roster with guest players from within their own club and have all the players appear on one form.  This roster can be used whenever an “official roster” is requested. Only persons with Registrar status can complete this roster.

Coaches Registration Forms
Coaches Registration Forms cannot be faxed into the State Office to be processed.  All coaches forms must be mailed in as original signatures are required.
